We won't get to the ring untill about 4pm, so If we can have a meet at say Adenau (An der Nordschleife) at about 5pm, this will give us time to check in to our guest house.

Would this be OK?

Let's do so. the other drivers meet at 12h, then check in and do a convoi at about 2 pm . so we can get to adenau at 4pm or half past 4. where in adenau?
btw. today i asked the nürburgring gmbh for the 5. time for the photosession at the nordschleife....
